Service charge statement§ 556 German Civil Code (BGB)

Send the service charge statement too late and the back-payment is lost.

Under German law, the statement must reach the tenant within twelve months of the end of the billing period. Rentarion calculates the deadline from each lease and creates a task six months ahead, on the dashboard and in the weekly email summary. If it is due today, tomorrow or already overdue, an email goes out immediately.

  • Rent increases, index adjustments and stepped rent on the same dashboard
  • Sorted by urgency, one click to the task

On site

The report is done before you leave the flat.

No paper, no retyping at the office. Meter readings and defects with photos, signature on the iPad, the report generated as PDF in one click and sent straight to the tenant.

Tenant turnover

From notice to new lease: one process, not three lists.

Recording a notice starts the turnover. Inspection, deposit settlement, refurbishment and re-letting are linked to it, each phase with its own checklist. You can see at a glance where every turnover stands.

Money

Bill, increase, collect - without spreadsheets.

Service charges

Allocation by area, units, persons or consumption. If heating costs are not allocated by consumption, Rentarion flags the tenant’s reduction right before the statement goes out.

Rent increase

Checks the waiting period since the last increase, the minimum tenancy and whether the unit is residential, and calculates the legal cap. Guided until the increase takes effect, then the lease is updated.

Rent potential

See which existing rents are below your comparable rent and can be increased now.

Payments

Bank statements as a file, expected against received payments per lease, arrears as a task, the payment reminder prepared in one click. DATEV export for your accountant.

No automatic bank access: you download the bank statement from your online banking.

Owners

Owners know what is going on, without you picking up the phone.

Who owns which unit, with history. Approvals via link, no login.
Owner statements as a monthly run across all owners, based on actual payments once bank statements are imported. As a PDF with your letterhead.
Every call, email and letter in the file, with follow-ups. Pre-written letters from rent increase to deposit settlement, individually or as a mail merge.

Add-onFor investors: quarterly reports with plan vs. actual, straight from your management data.

Early warning

Critical clauses and deadlines, before they get expensive.

Fixed, transparent rules based on German law, no AI. Rentarion flags issues; the legal assessment stays with you.

Statutory early warnings follow German law. For properties outside Germany, deadlines follow the lease itself, never a German default.
